CHINZY / ENGINEERING & DELIVERY
Private enterprise knowledge base planning
Turn product documentation, operating manuals and internal policies into permission-aware answers with sources. Resolve document quality and access rules before choosing models and compute.
Published by CHINZY · Updated
For teams with substantial internal documentation, repeated questions and controlled data access.
Prepare the source material
Provide authorized, sanitized samples with original files, revision dates, owners and visibility rules. Evaluate scanned documents, complex tables and duplicates separately.
Choose a deployment model
On-premises deployment requires hardware, model licensing, networking, backup and upgrade ownership. Private cloud needs defined access paths, storage locations and operator permissions. External APIs require a separate data-transfer review.
From retrieval to traceable answers
The proposed flow covers parsing, permission tagging, retrieval, answer generation and citations. Enforce authorization during retrieval and document access. When evidence is missing, report that clearly and offer a human handoff.
- Include common questions, version conflicts and unanswerable questions in evaluation.
- Verify that accounts from different departments cannot access restricted material.
- Measure citation correctness, latency and cost per task.
Pilot a bounded document set
Start with one department and one document type, retaining the current lookup process as a baseline. Verify update and deletion propagation before expanding.
Questions before you start
Must we migrate an existing document system?
Not necessarily. Check whether the existing system exposes usable APIs and permission information before choosing incremental sync, on-demand access or migration.
How are GPU and model costs estimated?
Benchmark document volume, concurrency, model size and response targets. Account separately for indexing, inference, storage and operations; a GPU model alone does not determine outcomes.
NEXT / YOUR PROJECT
Turn a task into a clear project brief.
Start with a remote requirements review. Site visits, embedded engineering, equipment demonstrations, training and support depend on location, staffing and resources and must be confirmed in the written scope.
